How to invite participants

Learn how to easily onboard participants.

When collecting self-reported data a participant can be:

  • A patient.
  • A student
  • An employee
  • Etc...

The number one rule of collecting self-reported data is make it frictionless for the participants.

One of the trickiest things is getting to sign up and join the study.

At Teamscope we have worked extremely hard in making the onboarding experience for participants be so easy that even non-tech tech savvy elder person can easily self-onboard into your research.

Different ways of inviting participants

There are two way that you can invite participants on Teamscope:

  1. Sending them an email invitation.
  2. Sharing an invite link that anyone can use to join.

1. Email invitation

To invite participants with the email invitation go to Manage users on the web dashboard and click on Invite user.

Enter the email address of each participant and select view own entries. What this permission will do is that it will restrict each user to only being able to see their own data.

2. Sharing an link

The other alternative is to use an invite link. You can share this link on social media, newsletters or posters and anyone that uses it will be onboarded directly into your.

To create an invite link go to Manage users on the web dashboard and click on Share link.

You will then be able to set custom permission on the invite link.

Very important: Make sure you set View form entries to View own entries. What this permission will do is that it will restrict each user to only being able to see their own data.

When participants use the link they will be first asked to install the app and then create an account.

You can try it yourself, it works like magic:

Converting link to QR code (optional)

Now that you have an invite link you can go a step further and convert that link into a QR code.

The QR code is great because all participants need to do is open their camera app, scan the code and they will be invited to install Teamscope and join your study.

To convert the invite link into a QR code you can use an online QR code generator, such as this free tool: https://www.qr-code-generator.com/

There you can paste the invite link, generate the QR code, download it and use it on flyers, newsletter campaigns, etc.
